Sponsors renew on proof. What to track during the event and how to present it in one page afterwards.

Sponsors rarely stop because the event was bad. They stop because nobody could show them what they got. A one-page report fixes that.

Agree the goals before the event

Ask each sponsor what success looks like: leads, brand awareness, hiring, product feedback. You can only report on what you planned to measure.

Track touchpoints, not just attendance

Useful numbers include:

  • Unique attendees who visited the sponsor's page or booth
  • Booth scans and consented leads
  • Clicks on their offers or links
  • Chats started with their team
  • Attendance at sessions they ran or backed

Aggregate numbers can always be shared. Names and contact details should only reach a sponsor when the attendee agreed to share them with that sponsor.

Keep it to one page

Lead with the three numbers they care about most, then a short list of what worked, and one suggestion for next time. Add photos of their booth or session.

Send it within a week

A report that arrives a month later competes with next year's budget decisions. Send it while the event is still fresh.
